AI for energy and utilities
Ideasforge builds artificial intelligence solutions for energy companies, utilities and infrastructure operators that need to automate processes, make technical knowledge easier to reach and connect information spread across many systems. We design AI agents, automations and intelligent assistants connected to ERP, CRM, databases, technical documentation, maintenance systems, APIs, email and internal applications. It’s an industry where we can help, although we don’t have a client in it yet: this page describes what we would build, with the method behind the five systems we already have in production.
We don’t apply AI in a generic way. We build it into specific processes where it can cut time, make information easier to reach or remove manual work.
Artificial intelligence for complex energy organizations
When information is spread across many platforms, part of the daily work depends on people who look for data, review documentation, coordinate incidents or update systems by hand.
Artificial intelligence can help interpret that information and use it inside more efficient processes.
- Assets
- Infrastructure
- Maintenance
- Incidents
- Contracts
- Customers
- Suppliers
- Technical documentation
- Regulations
- Management systems
- ERP
- CRM
- Databases
- Internal applications
What can AI automate in energy and utilities?
AI can step into technical, operational, administrative, document and customer service processes.
Incident management
A system can receive an incident, interpret it and classify it. It can then retrieve information, update systems or pass the case to the right team.
- Faults
- Outages
- Anomalies
- Supply problems
- Maintenance issues
- Billing problems
- Document errors
Technical documentation lookup
- Manuals
- Procedures
- Technical data sheets
- Maintenance documentation
- Protocols
- Regulatory documentation
- Internal instructions
Access to operational data
An agent can query information stored in databases, ERP, maintenance systems or other applications.
Which incidents are still open at this site?
- Which assets have maintenance due this month?
Administrative processes
- Data entry
- Email classification
- Validations
- Document generation
- System updates
- Coordination between applications
Customer service
A conversational agent can answer administrative questions, retrieve information and log requests. Cases that need a person can be passed on with the context already gathered.
“What work has been done on this equipment before?”
Energy organizations manage assets with complex documentation, history and maintenance processes.
The system can retrieve information from the authorized sources.
AI can help reach
- Work orders
- History
- Manuals
- Procedures
- Previous incidents
- Manufacturer documentation
- Technical information
AI agents connected to energy systems
An agent can become an access layer over different business systems.
The goal isn’t to replace those tools.
It’s to make information easier to reach and automate processes between them.
Depending on the project it can work with
- ERP
- CRM
- CMMS
- Databases
- APIs
- Maintenance systems
- In-house software
- Document management systems
- Custom applications
Process automation in energy and utilities
Many processes in energy and utilities need to combine interpretation and rules.
AI interprets the information that varies.
The software keeps control of rules, permissions and actions.
- Incident received
- interpretation
- classification
- data lookup
- order created
- assignment
- Document received
- extraction
- validation
- ERP
- filing
- exception
AI for technical documentation and regulations
Energy companies work with large volumes of documentation.
An assistant can help look up
- Procedures
- Manuals
- Regulations
- Policies
- Safety documentation
- Asset documentation
- Reports
- Specifications
The user can ask in natural language and get an answer based on authorized sources.
The original document used can be shown as well.
Incident management and operational support
Complex cases can be passed to a person.
That cuts the time spent on classifying and searching.
AI can help to
- Interpret incidents
- Classify them
- Retrieve past cases
- Find related documentation
- Prioritize cases
- Trigger workflows
Customer service connected to real systems
A utility chatbot can do more than answer frequently asked questions.
When it’s connected to internal systems it can
- Check statuses
- Retrieve contract information
- Log incidents
- Collect details
- Start requests
- Hand cases over
- Send confirmations
The conversation can become an interface over real processes.
Email and request automation
Email is still an important way in for internal and external processes.
That turns unstructured information into controlled processes.
AI can help to
- Interpret messages
- Classify requests
- Identify assets or contracts
- Extract information
- Start workflows
- Assign cases
AI for field operations
An assistant can help retrieve that information without making the user click through several applications.
Field teams may need quick access to
- Procedures
- Technical documentation
- History
- Asset information
- Work orders
- Previous incidents
AI doesn’t replace technical judgment.
It makes knowledge easier to reach.
Integration with existing systems
You don’t need to replace your current infrastructure to apply artificial intelligence.
Before integrating we analyze
- Permissions
- Data quality
- Allowed operations
- Impact of errors
- Traceability
- Need for human validation
We can design solutions connected to
- ERP
- CRM
- CMMS
- Databases
- Asset management software
- Document management systems
- APIs
- Internal applications
Security, permissions and traceability
In energy and utilities, a wrong action can have an operational or regulatory impact.
That’s why we don’t design systems with unlimited freedom.
We can build in
- Permissions
- Validations
- Limits on actions
- Business rules
- Human approval
- Logs
- Traceability
- States
- Error recovery
AI interprets.
Critical decisions are made by the code, never by the model.
Not every energy process needs AI
Part of our job is identifying where artificial intelligence adds value and where it doesn’t.
When a task can be solved with clear rules, we usually prefer conventional software.
It makes sense when there is
- Unstructured documentation
- Natural language
- Several sources
- A need to retrieve knowledge
- A high volume of incidents
- Processes that vary
AI usually adds the most value when there are
- Many incidents
- Plenty of documentation
- Many assets
- Distributed teams
- Poorly connected systems
- Repetitive administrative tasks
- Long search times
- Frequent questions
Before building we analyze volume, frequency, current time, running cost, number of users, errors, impact and the share that could be automated.
A good system doesn’t use more AI. It uses AI exactly where it’s needed.
The goal is to improve operations, not to add technology.
How we build AI solutions for energy and utilities
-
01 We analyze the process
We study how it works today and which systems, people and sources are involved.
-
02 We identify opportunities
We look for repetitive tasks, incidents, information searches and manual processes.
-
03 We review systems and documentation
We analyze ERP, CRM, CMMS, databases, technical documentation and internal applications.
-
04 We design the architecture
We define which part needs AI, which part should stay in conventional software and which controls are needed.
-
05 We build and evaluate
We test real cases, errors, exceptions and edge cases.
-
06 We deploy and monitor
We measure usage, times, errors, answer quality and results.
When is custom AI worth building for an energy company?
If an off-the-shelf solution solves the problem well, building from scratch won’t always be necessary.
Custom development usually makes sense when
- Several systems have to work together
- There’s documentation of your own
- Many assets are managed
- There are specific rules
- An off-the-shelf platform doesn’t cover the whole flow
- You need control over data and permissions
- There’s enough volume to justify the development

Is AI safe in the energy industry?
Yes, if the architecture defines permissions, validations, traceability and limits on actions. Critical actions are decided by the code, with human approval when needed.
There’s one more thing an industry committee needs to know. Energy is critical infrastructure, and the EU AI Act can treat some uses in that area as high-risk, with obligations that apply from 2 December 2027. Which specific use falls there is for your lawyers to assess, not us.
The EU AI Act for companies that use AI → How much does it cost to bring AI into an energy company?
The cost depends on the process, the integrations, the systems involved, the data, the architecture and the security requirements.
A documentation assistant and a system connected to several operational environments have different scopes.
